Export invoices in multiple formats for accounting and compliance.

Export your invoice data in various formats for accounting software, auditors, and record-keeping.

Accessing exports

  1. Go to Export in the sidebar
  2. Click New Export
  3. Select your options
  4. Click Generate Export

Your export is processed in the background. Download it when ready.

Export types

Invoice Data

Export your invoice records with all submission details:

  • Submission date and vendor information
  • Invoice number, amount, currency, due date
  • Status, inbox, and tags
  • Description and reference ID

Audit Trail

Export a complete timeline of all actions taken on invoices:

  • Status changes with timestamps
  • Who approved, rejected, or requested info
  • Reasons and notes provided
  • Internal team comments

Plan required

Audit Trail export requires the Business plan or above.

Export formats

CSV (All plans)

Standard comma-separated values format. Compatible with:

  • Microsoft Excel
  • Google Sheets
  • Any spreadsheet application
  • Custom data processing scripts

Excel (.xlsx) (Growth+)

Native Excel format with:

  • Formatted columns and headers
  • Proper date and currency formatting
  • Multiple worksheets for large datasets

QuickBooks CSV (Business+)

Formatted specifically for QuickBooks Online import:

  • Dates in MM/DD/YYYY format
  • Amounts as raw numbers (no currency symbols)
  • Headers match QuickBooks bill import requirements

Columns: Bill No, Vendor, Bill Date, Due Date, Amount, Category Account

Xero CSV (Business+)

Formatted specifically for Xero bill import:

  • Dates in DD-MM-YY format
  • Strict column headers that Xero requires
  • Ready for direct import

Columns: ContactName, InvoiceNumber, InvoiceDate, DueDate, AccountCode, LineAmount

Expense account mapping

For QuickBooks and Xero exports, BillerPlus can include the expense account:

  1. Go to Vendors in the sidebar
  2. Edit the vendor
  3. Set the Default Expense Account field
  4. This value appears in your exports

The account code should match your Chart of Accounts in QuickBooks or Xero.

Filtering exports

Narrow down your export using filters:

Filter Description
Date range Export invoices from a specific period
Status Only pending, approved, rejected, or needs info
Inbox Invoices from a specific submission inbox

Export history

View your previous exports on the Export page:

  • See when each export was created
  • View the format and type
  • Download completed exports
  • Exports are available for 7 days
