BillerPlus uses AI to automatically read invoice documents and extract key data, saving time and reducing manual data entry.
How it works
When an invoice is submitted (via inbox or email), BillerPlus:
- Processes the document — Converts PDFs to images if needed
- Analyzes with AI — Sends to vision AI model for data extraction
- Extracts key fields — Reads vendor name, amount, dates, etc.
- Applies confidence threshold — Only updates fields the AI is confident about
- Flags for review — Low-confidence extractions are left for manual input
Extracted fields
The AI attempts to extract:

Confidence scoring
Each extracted field has a confidence score (0-100%). Fields are only auto-populated when confidence is 80% or higher.
Confidence indicators
In the dashboard, look for these badges:
- AI (green) — Extraction completed with high confidence (80%+)
- AI (amber) — Extraction completed with lower confidence
- Extracting (blue spinner) — AI processing in progress
- Failed — Extraction couldn’t complete
Extraction status
Check the invoice expansion or drawer to see:
- Processing — AI is currently analyzing the document
- Completed — Extraction finished (confidence % shown)
- Failed — Something went wrong (retry available)
- Pending — Waiting to be processed
Re-extracting data
If extraction fails or you want to try again:
- Open the invoice in the dashboard
- Click Retry Extraction (for failed) or Re-extract (for completed)
- Wait for processing to complete
- Review any newly extracted data
Re-extraction is useful after: - Uploading a clearer document - Adding a document to an invoice that had none - Trying to improve low-confidence results
Multi-page documents
For multi-page PDFs: - All pages are analyzed (up to 10 pages) - Data is extracted from wherever it appears - Cover letters and supporting docs are processed too
Best document formats
For highest extraction accuracy:
- PDF — Native text PDFs work best
- PNG/JPEG — Clear scans at 150+ DPI
- Avoid — Blurry photos, handwritten invoices, unusual layouts
Limitations
AI extraction may struggle with:
- Handwritten invoices
- Heavily stylized or artistic layouts
- Very low-resolution images
- Non-standard invoice formats
- Documents in unsupported languages
In these cases, manual data entry is required.
Privacy and security
- Documents are processed securely via API
- No invoice data is used to train AI models
- Processing happens in real-time (not stored by AI provider)
- All data remains within your BillerPlus account
Cost
AI extraction is included in all paid plans. The feature uses Gemini Flash, a fast and cost-effective vision model optimized for document processing.
