Step-by-Step Reconciliation Process

Step 1: Run Reports as of the Same Date/Time

From AP Subledger: - AP Aging Report (summary) - AP Aging Report (detail)

From General Ledger: - Trial Balance showing AP accounts - AP account detail (if needed)

Critical: Both reports must be as of the exact same date and time.

Step 2: Compare Totals

Step 4: Investigate Differences

Step 5: Document Findings

Step 6: Clear Items

Items that can be cleared: - Correct errors in current period - Post missing transactions - Apply unapplied credits - Void duplicate entries
